Still Using Excel for Everything? Here’s When You’ve Outgrown It
Excel is not bad. Many businesses should keep using it. The problem starts when one spreadsheet becomes the customer system, stock system, sales system and management report at the same time.

Watch for duplicate work
If staff copy the same information between sheets every day, you may have outgrown the setup.
Common signs
- Repeated data entry
- Version confusion
- Broken formulas
- Files locked by one person
Check how dependent you are on one staff member
If only one person understands the spreadsheet, that is business risk.
Ask
- Can someone else use it
- Is there documentation
- Are backups automatic
Consider a proper system when the workflow matters
A custom or existing business system can add roles, automation and cleaner reporting.
Useful when
- Many users
- Approvals
- Customer portal
- Integrated reporting
My view
Do not replace Excel because software sounds more advanced. Replace it when the current process is costing too much time or creating too much risk.
