How Much Does One Employee Really Cost Your Business in Malaysia?

How Much Does One Employee Really Cost Your Business in Malaysia?

An employee who earns RM3,000 does not cost the company only RM3,000. Employers need to budget for statutory contributions, leave, equipment, workspace and the time spent training the person.

Start with salary plus employer contributions

For Malaysian employees, employer EPF contribution rates vary by salary and age, while SOCSO and EIS also apply according to the official schedules.

Check official tables

  • EPF employer contribution
  • SOCSO employer contribution
  • EIS employer contribution
  • Any industry specific obligations

Add the cost of actually employing the person

A staff member may also need a laptop, phone, uniform, software, training or parking.

Common hidden costs

  • Equipment
  • Software subscriptions
  • Recruitment
  • Training
  • Paid leave
  • Bonuses or allowances

Do not calculate only by month one

A new employee may take time before becoming fully productive.

Plan for the full picture

  • Probation period
  • Training time
  • Manager time
  • Replacement risk if the hire does not work out

My view

Before hiring, calculate what the role costs for a full year, not just the monthly salary. For statutory rates, always check the latest KWSP and PERKESO schedules before using any figure in payroll.

Checked 4 Oct 2026 against official sources: kwsp.gov.my, perkeso.gov.my. Rules and rates can change, so always confirm the latest before acting.
